The short version

Your letters and your case stay on your own device. When you scan a letter, the photo is sent once to our reading service and to Anthropic (the company behind Claude) so the words can be read, then it is not kept. We never sell your data and we never share anything with a creditor or collector unless you tell us to.

Who we are

scanyourletter (“we”, “us”) provides an app that reads letters you photograph and explains, in plain English, what they mean and what you can do. We are the data controller for the personal data described here.

Contact: hello@scanyourletter.com. Postal address and company registration details are shown in the app once registration is complete.

What data we process

Some of this can be sensitive, for example if a letter shows financial difficulty or you note a health issue when preparing a Breathing Space pack. We treat it with extra care and only process it to provide the service to you.

Where your data is stored

On your device. Your debts, budget, pot and draft letters are saved in your browser’s local storage on your own phone or computer. We do not hold a copy on a server. If you clear the app’s data, or clear your browser storage, it is gone.

How the scan works, and who reads your letter

When you scan a letter, the image is shrunk on your device and sent to our reading service, which passes it to Anthropic PBC (the provider of Claude, the AI that reads the letter). Anthropic processes the image to return the structured reading, then we return that to your app.

Why we are allowed to process it (lawful basis)

Who we share it with

How long we keep it

Your case stays on your device until you delete it. The letter image is processed transiently for the reading and not retained. Basic technical logs are kept only for a short period to keep the service secure.

Cookies and storage

We do not use tracking or advertising cookies. We use your browser’s local storage to save your case on your device so it is there when you come back. That storage never leaves your device.

Your rights

Under UK data protection law you have the right to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. Because your case lives on your device, you can exercise most of these yourself by viewing, editing or clearing your data in the app. For anything else, email hello@scanyourletter.com.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

Children

The app is for adults. It is not intended for anyone under 18.

Changes

If we change this policy we will update the date above and, for significant changes, tell you in the app.

scanyourletter explains your rights and helps you draft your own letters. It is information, not regulated debt advice. See our terms for what that means.
